INVENTORY IMPORT SCHEMA CONTROL
Define Inventory Import Master Schemas
Identify the authoritative upload layout before operators create working or system-specific copies.

01 / CONTEXT
Define the control decision
A warehouse may keep import layouts in the WMS, ERP documentation, spreadsheets, shared folders and local downloads. Record the authoritative file, target system, required columns, owner and release date before applying restrictions.
Identify the authoritative upload layout before operators create working or system-specific copies.
02 / PROCEDURE
Run the control sequence
- 01
Name the schema owner and target warehouse system.
- 02
Record required columns, data types, order and accepted format.
- 03
Separate draft, test and retired layouts from the released master.
- 04
Use fabricated SKUs, locations and quantities in every test.
- 05
Publish the review, replacement and recovery owners.
03 / EVIDENCE
Preserve proof without production data
A defensible control record identifies the schema owner, target system, authoritative path, required fields, permitted accounts, restriction mode, release ID, checksum evidence, recovery owner and next review date. It should not contain production SKU, location, quantity, supplier or credential information. Use fabricated import records during every technical test.
Recheck the arrangement after changes to Windows, warehouse software, WMS versions, mappings, storage, Folder Protect, permissions, service accounts or warehouse roles. Confirm both usability and recovery: an authorized operator should read the released template, an unauthorized account should not alter it, and the recovery owner should restore a separately held copy without depending on the protected folder. Preserve unexpected behavior before changing controls.
Keep the claim narrow. Local restrictions may reduce accidental writing, deletion or access on a tested Windows path, but they do not encrypt data, validate field mappings or inventory values, administer identities, create WMS acceptance evidence, provide version history or replace backup. Escalate those requirements to the platform and accountable owner designed to meet them.
Ask a second operator to follow the written procedure without verbal help. Record whether that person can identify the released schema, create a working copy, recognize the release ID, interpret denied access and find the recovery owner. This usability check reveals ambiguous paths, hidden service-account dependencies and undocumented knowledge before a WMS, integration, storage or staff change. Correct the procedure, repeat the test with fabricated data and retain only minimal evidence.
04 / BOUNDARY
State what the control cannot prove
A protected file does not establish SKU validity, stock accuracy, field compatibility, import acceptance or transaction authorization.
Validate the exact Windows account, warehouse application, target system, storage path and current product release. If encryption, WMS validation, immutable history, transaction authorization, identity governance or regulated retention are required, select systems designed for those jobs rather than broadening a desktop restriction claim.
